We use Microsoft's Teams software for online meetings. Microsoft Teams is part of Microsoft 365 (Office 365). This is a service of Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, D18 P521, Ireland.
Personal data is processed when using Microsoft Teams. The scope of personal data processed depends on the information you provide prior or during the online meeting. We process the following data categories:
- Profile data (name displayed, first and last name, e-mail address, profile picture (if available))
- Communication data (text, audio and video contents)
- Meta data (topic, description (if available), IP addresses of participants, hardware information)
- Protocol data
Video calls will not be recorded.
To participate in an online meeting, at least your name will be required.
The legal basis for data processing when using Microsoft Teams is Article 6, Paragraph 1, letter (b) GDPR, if the online meeting is related to a contractual relationship. Otherwise, the legal basis for processing your data is your consent according to Article 6, Paragraph 1, letter (a) of the GDPR.
Upon participation in the Microsoft Teams meeting you consent to the processing of your personal data for the purposes of the online meeting. This also concerns the processing of data by Microsoft Corporation in the USA.
Although the provider of Microsoft Teams is the European subsidiary of Microsoft Corporation, which is headquartered in the USA, it cannot be completely ruled out that data relating to online meetings will be processed outside the EU. US security authorities may be able to access communications data.
We have concluded a commissioned data processing agreement with Microsoft. Therefore, Microsoft undertakes to ensure that the regulations of the General Data Protection Regulation (GDPR) will be observed. Furthermore, we have concluded an agreement with Microsoft relating to the so-called EU Standard Contractual Clauses. It serves for ensuring an appropriate degree of data protection when processing personal data outside the EU.
Personal data processed during a Teams meeting will only be disclosed to third parties, if this personal data is allowed to be shared. Microsoft is granted access to data insofar as this is required for order processing.
